Operations Analyst

Responsible for contributing to the operational performance and reporting of activities within the Residential Services Operations Team. This includes dashboard and operational reporting to establish cross-functional impact across service lines while meeting the needs of the business unit. Under guidance of the Director of Operations, monitors documentation and data associated with revenue and expense. Conducts data-driven analysis to gather insights and inform decision-makers of impacts associated with expense, operational costs, job costing, and labor/utilization trends. Performs operations administrative functions that ensure all revenue, expense data, and documentation is captured timely and accurately.  Assures adherence to minimum profitability thresholds for each service activity and recommends/prescribes corrective action where patterns of deficiency or inefficacy emerge.  Contributes to departmental growth by ensuring that each team member is accurately compensated and that all hours worked are accounted for during the applicable workweek.


Local & Long-Distance Payroll

  • Ensures all timesheet data is entered/submitted the same day that work performed.
  • Performs quality control measures to safeguard accuracy capture of all payroll data during the period of performance.
  • Audits all timesheets against GPS data to validate accuracy and address discrepancies timely.
  • Resolves any timesheet discrepancy in contradiction of available audit data (daypage information, GPS data, etc.) and take remedial steps to resolve.
  • Audits and submits each timesheet within 24 hours of work performed
  • Communicates with HR and Payroll to resolve any payroll discrepancy prior to processing and final submission.
  • Responds no later than 1 business day to any team member who submits or make a payroll inquiry.


Expense Administration

  • Authorizes and initiates distribution of funds, ensuring any expense advance is adherent to published standards.
  • Oversees data entry and quality control measures to ensure accuracy.
  • Establishes expense report submittal and reconciliation protocols to ensure deadlines and processing guidelines are consistently applied.
  • Performs the reconciliation of expense reports, reviewing and addressing discrepancies.
  • Ensures that all expense reports are reconciled and submitted within four (4) days of shipment delivery.

IC Administration

  • Authorizes all distribution of IC funds, confirming that advance amount standards are met.
  • Oversees all data entry associated with advance tracking to assure completeness and accuracy.
  • Monitors all IC account balances to ensure any negative balances receive immediate attention.
  • Develops action plans for all IC’s who habitually overdraw their accounts.


Revenue Documentation Administration

  • Ensures that all paperwork is submitted with 24 hours of job completion.
  • Ensures that all documentation standards are consistently met.
  • Develops performance improvement plans for Dispatchers who inconsistently apply operational standards or continually tolerate non-compliance from their team members.

Long Distance Trip Profitability

  • Confirms that a Trip Profitability Summary is created for all LD trips.
  • Reviews all trips with a margin below 30% to determine cause.
  • Identifies trip profitability deficiency patterns and recommends changes to Planners, Dispatchers, Sales Personnel, and the Director of Operations.


Local Job Costing

  • Confirms that a Job Costing Summary is created for each Local Service Activity.
  • Reviews all Service Activities with a margin below 30% to determine cause.
  • Identifies Service Activity profitability deficiency patterns and recommends changes to Local Dispatchers, Sales Personnel, and the Director of Operations.


  • High School Diploma or GED.
  • Ability to apply factors to established operational standards; read and interpret documents protocols; apply safety, operating and maintenance instructions as required.
  • Experienced with the preparation of routine reports and correspondence.
  • Strong Microsoft Office skills to include Excel.
  • Ability to calculate figures and amounts (e.g., discounts, interest, commissions, proportions, percentages, area, circumference, and volume).
  • A strong acumen for multi-tasking, operations protocols, and delivery of work product in accordance with strict timelines.
  • Discretion managing and protecting confidential information.
